Agreement
- These Terms of Service (“Terms”) govern your access to and use of Eosord and EOSlink, operated by Erika Labs (“we”, “us”, “our”) at eosord.com and related services.
- Eosord is recruitment software for hiring teams. EOSlink is a candidate profile product that is an integral part of the Eosord platform. Both products may share the same account system.
- By creating an account, applying to a job, using a scheduling or review link, connecting an integration, or otherwise using our services, you agree to these Terms. If you do not agree, do not use the service.
- Our Privacy Policy at https://eosord.com/privacy explains how we handle personal data and forms part of your agreement with us.
Definitions
- “Recruiter account” means an account used to access Eosord hiring features (jobs, applicants, reports, and related tools).
- “Candidate account” or “EOSlink account” means an account used to create, edit, and publish a personal profile through EOSlink.
- “Organisation workspace” means a shared team environment with its own members, roles, public careers page, and associated jobs.
- “Applicant” means a person who submits a job application through a public apply form and who may or may not have a candidate account.
- “Open to work” means a published EOSlink profile setting that allows recruiters using Find people to discover the profile in search results, subject to visibility rules.
Who may use the service
- You must be at least 16 years old and able to enter a binding contract.
- Eosord is intended for recruiters, hiring teams, and organisations using the platform for lawful recruitment purposes. You are responsible for compliance with applicable employment, anti-discrimination, and data protection laws.
- EOSlink is intended for individuals creating a personal career profile. You must not impersonate others or publish unlawful, misleading, or infringing content.
- Some recruiter sign-up paths require a work email address. Consumer email domains may be restricted for new recruiter accounts. We may approve exceptions at our discretion if you contact us.
- You may hold one account that can access both EOSlink and Eosord where enabled (for example, after upgrading a candidate account to recruiter access). You are responsible for all activity under your credentials.
Accounts and security
- You must provide accurate account information and keep your login credentials secure.
- Email verification may be required before full access. Password reset links are single-use and time-limited.
- You are responsible for activity under your account, including actions taken by users you invite to an organisation workspace.
- We may suspend or terminate accounts that violate these Terms, pose a security risk, misuse the platform, or infringe our branding rules.
Organisation workspaces
- An organisation workspace has a public name and careers page URL (slug). The owner and admins may invite members by email with roles: owner, admin, or member.
- Owners may transfer ownership, change member roles, remove members, and close the organisation. Closing an organisation preserves jobs and applicant data but removes active workspace access until restored.
- Closed organisations may be restored by an authorised owner subject to confirmation steps shown in the product.
- Organisation names may be subject to change restrictions for a period after creation or rename. Contact support if you need an exception.
- Organisation admins may assign job maintainers so specific team members can manage individual jobs within the workspace.
Eosord recruiter features
- Jobs: create, edit, preview, publish, pause, and archive job postings; set application limits; add custom application fields; and generate job description drafts using AI assistance where available.
- Applicants: receive and review applications, view resumes, manage pipeline status, shortlist candidates, add notes, view match scores, and use map and list views.
- Pipeline: move candidates through hiring stages (for example applied, in progress, on hold, offer, onboarding, rejected) using board or table views.
- AI Hub (“Spike AI”): ask questions about applicants on a selected job. Per-applicant AI chat may also be available on applicant detail pages. AI outputs are suggestions only.
- Match scores: automated relevance indicators based on job and application content. Scores may update when job content changes.
- Mailbox: view outbound email activity (queued, sent, failed) and export records where available.
- Reports: view hiring statistics and per-job analytics for your account or organisation, as permitted by your role.
- Find people: search published, open-to-work EOSlink profiles by text and location. Contact details are shown only according to each candidate’s visibility settings.
- Your events: view confirmed interview bookings and connected calendar activity where integrations are enabled.
- Settings: manage your recruiter profile and view account usage information where displayed.
- Help centre and support tickets: submit questions through in-product forms. Support submissions are handled according to our Privacy Policy.
EOSlink candidate features
- Create and edit a profile including display name, headline, location, about text, skills, links, experience, education, custom sections, theme, and avatar.
- Claim a unique @handle for a public profile URL (for example eosord.com/@yourhandle). Handles must not violate these Terms or third-party rights.
- Control email and phone visibility: public, recruiters only, or hidden. Public pages show only fields you publish with public visibility.
- Publish your profile to make the public page available. Unpublished profiles are not shown on public @handle URLs.
- Open to work: when enabled on a published profile, your profile may appear in recruiter Find people search and related matching features. Turning this off removes you from discovery while your public page settings may still apply separately.
- You retain ownership of profile content you submit. You grant us a licence to host, display, index, and process that content to operate EOSlink, Eosord, search, and matching features.
Public careers pages and job applications
- Each organisation workspace may have a public careers page listing open roles at eosord.com/careers/[slug]. Content on that page is the responsibility of the posting organisation.
- Job applications are submitted through public apply forms. Applicants do not need an Eosord account. Required fields typically include name, email, phone, location, and a PDF resume, plus any custom fields configured on the job.
- Applications are sent to the recruiting organisation posting the job. Erika Labs operates the platform but is not the employer and does not make hiring decisions.
- Application limits, expiry dates, and job status (draft, published, paused, archived) are controlled by the recruiter. Applications may be blocked when a job is not accepting responses or a limit is reached.
- After applying, applicants may receive an acknowledgement and information about creating an EOSlink profile. That is optional and separate from the application itself.
Interview scheduling
- Recruiters may send shortlisted candidates a tokenized link to book an interview. Candidates access scheduling without an account using that link.
- Available times are based on the recruiter’s connected calendar and settings shown in the product. Booking creates a calendar event where integrations are connected.
- Candidates may reschedule or cancel through the same scheduling link, subject to product rules and link expiry.
- Scheduling links expire after the period shown in the product (commonly 14 days unless otherwise stated). Expired links cannot be used to book or change appointments.
- Recruiters must only send scheduling invitations to candidates with a lawful basis to contact them for that role.
Client review portal
- Recruiters may share shortlisted candidate profiles with external contacts (for example hiring managers or clients) through tokenized review links.
- Recipients must verify the email address the invitation was sent to before viewing submitted profiles. Access is limited to the candidates included in that submittal.
- Review links expire. Recipients must not share links beyond the intended review purpose or download content for unrelated use.
- The recruiting organisation is responsible for lawful sharing of applicant data with client contacts.
Calendar integrations (Google and Microsoft)
- Connecting Google Calendar or Microsoft Outlook is optional. You authorise Eosord to access your connected calendar only as described in our Privacy Policy.
- Calendar access is used to check availability and create interview events you confirm through the platform—not to read unrelated email or files.
- You must have the right to connect the calendar account you use and to schedule interviews on behalf of your organisation.
- You may disconnect an integration at any time in Integrations. Disconnecting stops future calendar access through Eosord but does not remove events already created on your calendar.
- Eosord is not affiliated with Google or Microsoft. Your use of their services is also subject to their terms and policies.
AI and automated features
- AI-assisted features include job description generation, applicant match scoring, AI Hub conversations, and per-applicant Q&A. These features process job text, application content, resume data, and profile content as needed to provide outputs.
- AI outputs are informational suggestions only. They may be incomplete or inaccurate. Recruiters remain solely responsible for hiring decisions, shortlisting, rejections, and messages sent to candidates or clients.
- Do not rely on AI outputs as the sole basis for decisions that affect candidates’ legal rights without appropriate human review.
- We may improve, limit, or discontinue AI features as the product evolves.
Communications
- Eosord may send email on your behalf when you use platform features (for example interview invitations, client submittals, or applicant acknowledgements). You are responsible for the lawful basis and content of those communications.
- Outbound messages may be queued and logged in the Mailbox. Delivery is not guaranteed; failed sends may require you to retry or use another channel.
- Do not use the platform to send spam, unlawful messages, or content that violates anti-discrimination or harassment laws.
Recruiter responsibilities
- Recruiters and organisations are data controllers for applicant information they collect through Eosord and must have a lawful basis to process candidate data under applicable law.
- When using Find people, you may contact candidates only through means they have made available and for legitimate recruitment purposes consistent with their visibility settings.
- Do not upload unlawful, misleading, or discriminatory job content; do not scrape, harvest, or export candidate data for unrelated marketing; and do not attempt to reverse engineer, overload, or circumvent security or access controls.
Candidate and applicant responsibilities
- Applicants must provide truthful information in applications. False or misleading applications may be rejected by the hiring organisation.
- EOSlink users must not publish content that is unlawful, defamatory, harassing, or infringes intellectual property or privacy rights.
- If you apply to a job, the recruiting organisation’s privacy practices for that hiring process apply in addition to this platform’s Privacy Policy.
Intellectual property and branding
- Eosord, EOSlink, their software, branding, and documentation are owned by Erika Labs or its licensors.
- The “Eosord”, “EOSlink”, and “Erika Labs” names, logos, and branding may not be used, registered, or imitated outside the platform—including in product names, domain names, apps, or marketing—without our prior written permission.
- Unauthorised use of our names or branding may result in suspension of access and legal action.
- You retain ownership of content you submit (jobs, notes, organisation data, EOSlink profiles). You grant us a limited, worldwide licence to host, reproduce, display, and process that content solely to operate, improve, secure, and promote the services as described in these Terms and our Privacy Policy.
Data security and your information
- We take data security seriously and follow industry best practices to protect personal data processed through Eosord and EOSlink.
- We use appropriate technical and organisational measures—including access controls, encryption in transit (HTTPS), and secure handling of sensitive credentials such as calendar OAuth tokens—to reduce the risk of unauthorised access, loss, or misuse.
- We do not sell your personal data. We do not share personal data with third parties for their own advertising or marketing purposes.
- Personal data is processed to operate the service, support your account, and provide the features described in these Terms and our Privacy Policy. Applicant data submitted through job applications is provided to the recruiting organisation posting the role.
- We use trusted infrastructure and service providers under contractual safeguards where they process data on our instructions. Details are set out in our Privacy Policy at https://eosord.com/privacy.
- No online service can guarantee absolute security. You should keep your password confidential and notify us promptly if you suspect unauthorised access to your account.

Fees and usage limits
- Features, usage limits, and pricing may change over time. We will give notice where reasonably practicable for material changes affecting paid features.
- Accounts may be subject to fair usage limits shown in the product—for example limits on jobs per account or organisation, search results, file upload sizes, and profile field caps.
- Pricing, if any, will be communicated separately before charges apply. Free tiers or trials may be offered from time to time at our discretion.
Disclaimer
- The service is provided “as is” and “as available” to the fullest extent permitted by law.
- We do not warrant uninterrupted access, error-free operation, or that scheduling, calendar sync, match scores, search results, or AI outputs will always be accurate or complete.
- We are not responsible for hiring decisions, employment outcomes, or the conduct of recruiters, candidates, applicants, or third parties using review or scheduling links.
Limitation of liability
- To the fullest extent permitted by law, Erika Labs is not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or business opportunities arising from your use of the service.
- Nothing in these Terms limits liability that cannot be limited under applicable law, including for death or personal injury caused by negligence or fraud.
Indemnity
- You agree to indemnify Erika Labs against claims arising from your misuse of the service, your breach of these Terms, content you submit, or your violation of law or third-party rights, except where caused by our negligence or wilful misconduct.
- Organisation owners and admins are responsible for actions of members they invite and for job content posted in their workspace.
Termination
- You may stop using the service at any time. You may close an organisation workspace through in-product controls where available.
- We may suspend or terminate access if you breach these Terms, if required for security or legal reasons, or if we discontinue the service.
- Sections that by nature should survive termination (including liability limits, intellectual property, indemnity, governing law, and jurisdiction) will continue to apply.
Changes
- We may update these Terms from time to time. The “Last updated” date will change when we do.
- Continued use of the service after changes take effect means you accept the updated Terms, unless applicable law requires a different process.
International use and compliance
- Erika Labs operates Eosord and EOSlink from Scotland, United Kingdom.
- We aim to run the service in line with applicable legal and regulatory requirements in the jurisdictions where our users operate, including the United States, Canada, the United Kingdom, the European Union, Australia, New Zealand, and Singapore, as well as other countries where the service is accessed.
- This includes, where applicable, recognised data protection standards (such as UK GDPR, EU GDPR, and comparable privacy frameworks) and responsible handling of recruitment-related personal data.
- You are responsible for ensuring that your use of the service complies with local employment, anti-discrimination, and data protection laws that apply to you or your organisation.
- If mandatory law in your country of residence gives you rights that cannot be excluded by contract, those rights remain unaffected by these Terms.
Governing law and jurisdiction
- These Terms are governed by the laws of Scotland and the wider United Kingdom, without regard to conflict-of-law rules.
- The courts of Scotland shall have jurisdiction to settle disputes arising from or relating to these Terms, subject to any mandatory consumer protections or non-excludable rights you may have under the laws of your country of residence.
- Nothing in this section limits our ability to seek injunctive or other equitable relief in any jurisdiction where misuse of the service may occur.
